Invite Tenants to Keyhook

Overview

Tenants usually join Keyhook while you set up the tenancy — in Set Up Tenancy open the Tenants step → choose Yes to prompt them to join → add each tenant's Name and Email addressSave and continue. To add another tenant to a signed tenancy, use the property's Actions button → Invite tenants.

Before you invite

Set up the property and tenancy first
Invitations attach to a tenancy, so the property and its tenancy must already exist. See Set Up a Tenancy if you haven't created one yet.

Have each tenant's email ready
A valid email address is required for every tenant you invite — it's where Keyhook sends the invitation link.

Note: The Invite tenants action on a property only appears once the tenancy agreement is signed. Before that, invite tenants from within the tenancy setup instead.

Invite tenants while setting up the tenancy

Open the Tenants step
From the property, click Set Up Tenancy in the left menu and open the Tenants step.

Choose to prompt them to join
Set Would you like to prompt your tenants to join their tenancy on Keyhook? to Yes. Choosing No instead just records the tenants for your reference and sends no email.

Add each tenant
Click Invite a tenant and enter their Name and Email address. Click Invite another tenant for each additional tenant.

Write the invitation message
In Invitation message, add a note to include in the invite email the tenants receive.

Save, then finish the setup to send
Click Save and continue. This records the invited tenants but doesn't email anyone yet — continue through the remaining setup steps to Review & Complete and confirm the send there. Keyhook emails each invited tenant their join link at that point, not when you save the Tenants step.

Note: Once a tenant accepts their invitation, their details are theirs to manage — their name and email lock here and they can no longer be removed from this screen.

Invite another tenant to a signed tenancy

Open the property and select the tenancy
Go to the Property and make sure the right tenancy is selected in the navigation bar.

Start the invite
Click the Actions button (top right) and choose Invite tenants.

Enter the tenant's name
In the Invite Tenant form, enter the tenant's Name.

Enter their email
Enter the tenant's Email Address.

Send the invite
Click Invite Tenant. Keyhook emails them a link and the invite appears under Pending Invitations.

Note: Use this only for a tenant who has signed the current lease — it adds a named tenant to the existing signed tenancy, not a new occupant taking over. For a tenant swap, use Change of tenants instead.

Track and manage pending invitations

Open the Tenants card
On the property's Overview, find the Tenants card and look under Pending Invitations.

Check each invite's status
The table shows when the invite was Sent, whether the tenant has Signed Up To Keyhook, and whether they've Accepted Invite.

Fix a wrong email
For a tenant invited during setup, click Edit and correct the Tenant email address — saving with a new address re-sends the invitation.

Cancel an invite
For a tenant added from the Actions menu, click Delete and confirm to cancel the invite. You can then invite them again with the right details.

Frequently asked questions

What's the difference between inviting and recording a tenant?

Inviting emails the tenant a link to join Keyhook and manage their own details; recording (choosing No) just stores their details for your reference and sends nothing.

Can I invite a tenant without an email address?

No — a valid email address is required, as it's where Keyhook sends the invitation link.

A tenant didn't receive the invite — what can I do?

Ask them to check their spam or junk folder and confirm the address is right. If it's wrong, correct it: for a tenant invited during setup, click Edit on the pending invite to fix the email (which re-sends it); for a tenant added from the Actions menu, Delete the invite and send it again.

How does a tenant accept the invitation?

They open the link in the invite email and register using that same email address, setting their own password. They then show as Accepted Invite = Yes under Pending Invitations.

Can I edit a tenant's details after they've accepted?

No — once a tenant accepts, their name and email are theirs to manage, so those fields lock and they can't be deleted from the setup screen. Ask the tenant to update their own details.
