Change of Tenants
Overview
A change of tenants swaps some of the people on a tenancy while it continues — a dedicated workflow, separate from a general variation, that files the bond change with Tenancy Services. To run one, open the property → click the Actions button → Change of tenants, mark who is leaving and add any incoming tenants, then sign the variation and generate the documents for everyone to sign. Once every tenant has signed, come back to Change of tenants and Submit to Tenancy Services to finish.
Start the change and choose the tenants
Note: You can use a change of tenants for just departing tenants, just incoming tenants, or both — you don't need both. Enter each name as Tenancy Services holds it for the bond (you can edit a name to match), since those names are what Keyhook submits.
Sign and send the variation
Note: This does not act as a rent-increase notice. To change the rent, choose Change rent from the Actions menu instead.
Submit the change to Tenancy Services
Important: Creating the variation and collecting signatures is not the final step. Once all tenants have signed, you must go back to the property overview, click the Actions button → Change of tenants, and click Submit to Tenancy Services. The change isn't sent — and the departing tenants aren't removed from the tenancy — until you do.
Frequently asked questions
How is a change of tenants different from a tenancy variation?
A general variation changes the terms of the agreement (pet policy, occupant numbers, and so on). A change of tenants swaps who is on the tenancy while it continues — it's a dedicated workflow that lets you pick exactly which tenants are leaving and files the bond change with Tenancy Services. The departing tenants' names weren't removed from the tenancy — why?
Most likely the change hasn't been submitted to Tenancy Services yet. Creating the variation and collecting signatures isn't the last step: go back to the property, click the Actions button → Change of tenants, and click Submit to Tenancy Services. The departing tenants are only removed once the change is submitted.
Can I replace all of the tenants at once?
No — at least one of the original tenants must keep renting the property. To end the tenancy entirely and start again with a new household, use Ending a Tenancy instead.
Do all the tenants have to sign before I can submit?
Yes. The Submit to Tenancy Services button stays disabled until every departing, continuing and incoming tenant has signed the agreement.
What if Tenancy Services rejects the change?
Keyhook shows the Tenancy Services response on the spot and nothing is submitted. It's usually a name that doesn't match the bond record — fix the details and click Submit to Tenancy Services again.
