Understanding a Tenancy
Overview
Open the tenancy's Overview to read its summary cards, the General, Rent, Bond and Custom Fields panels and the Rent Ledger. To capture extra details, enter them under Set Up Tenancy → Custom fields & tags, and to show a field here, turn on Tenancy Overview for it on the Custom Fields page.
Open and read the tenancy overview
Read the rent ledger
Note: The rent ledger is the record you'd rely on for a 14-day notice or a Tenancy Tribunal claim, so make sure every payment is receipted against the tenancy — otherwise the arrears figure will be wrong.
Enter a custom field value for the tenancy
Note: Fields only appear here once they've been defined for tenancies on the Custom Fields page. If you see "No custom fields have been defined yet", set them up there first.
Show a custom field on the tenancy overview
Note: This controls display only, not the field's value, and it applies to every tenancy in your agency — once turned on, the field shows in the Custom Fields panel of every tenancy, whether or not a value has been entered (tenancies with no value show the field with an empty / "Not available" value).
Frequently asked questions
Why don't I see any custom fields on the tenancy overview?
Because no tenancy field has been turned on for the overview — a field turned on shows even with no value entered (as "Not available"), so a missing value is never the reason. Turn one on via the Custom Fields page → the field's Reports shown in → Tenancy Overview → Save changes, and note the panel only appears for property managers.
What's the difference between filling a custom field and showing it on the overview?
Filling it (under Set Up Tenancy → Custom fields & tags) sets the value for that one tenancy. Showing it (the field's Reports shown in setting) only controls where the value is displayed, and applies to every tenancy in your agency.
How is the rent ledger different from the arrears figure at the top?
The Rent in arrears card is a current snapshot, while the Rent Ledger is the full period-by-period history — each period's Amount Due, Amount Paid and resulting Arrears Balance — so you can see exactly how the balance built up.
Can I download a tenancy for my records or the owner?
Yes. Click Download report at the top of the overview for the full tenancy report, or Download rent ledger in the Rent Ledger section for just the payment history.
