Email Accounts

Overview

To connect your inbox, open the Emails menu → Manage Accounts → click Add account and grant Keyhook access on your provider's sign-in screen. From the same page you can Share an account with your team, set an email signature, and turn on Bill Pay for invoices.

Connect an email account

Open Manage Accounts
From the left menu, open Emails and click Manage Accounts. Your own connected inboxes appear in the Your Accounts card; inboxes colleagues have shared appear in Agency Accounts. Manage Accounts and all its account actions are desktop-only — on mobile the page just shows a Synced accounts card reading "Available only on desktop."

Start adding an account
In the Your Accounts card, click Add account. Keyhook sends you to your email provider (such as Google or Microsoft) to sign in.

Sign in to your provider
Choose the account you want to connect and sign in. On a Google account you may hit an unverified-app warning first — click Advanced, then Go to Nylas, to get past it.

Grant access
Approve all the access Keyhook requests so it can send and read mail on your behalf, then continue. You're returned to Manage Accounts.

Confirm it connected
The account now shows in Your Accounts with a green Authorized tick in the Permission column.

Note: Keyhook connects to your inbox through a service called Nylas, so the provider's sign-in and permissions screens name Nylas rather than Keyhook — this is expected, not a phishing attempt.

Share an account with your team

Find the account
In Manage Accounts, find the inbox in the Your Accounts table.

Share it
In that row's Actions, click Share, then confirm in the Share Account dialog.

Check it's shared
A green tick appears in the Shared column, and the inbox now shows in your colleagues' Agency Accounts list.

Note: Sharing lets any agency member send email from this account and read what arrives in it — only share an inbox the whole team should have access to.

Make an account private

Make it private
In the account's row, click Make Private in the Actions, then confirm in the Make Account Private dialog.

Confirm it's private
The Shared column clears, and other agency members can no longer send from or read the inbox.
Add/Edit an email signature

Open the signature editor
In the account's row, under the Signature column, click Set signature (or View signature to edit an existing one).

Paste your signature
In the Email Signature window, paste your signature HTML into the Signature (HTML) field. The Preview below shows how it will look in a sent email.

Save
Click Save.

Note: Please see the following article for detailed steps: Email Signatures. Signatures are set per account, so add one to each connected inbox you send from.

Turn on Bill Pay for invoices

Choose your invoice inbox
Connect (or pick) the email account your suppliers send invoices to — ideally a dedicated invoices inbox, including any water supplier if your region bills for water.

Turn on the Bill Pay toggle
In that account's row, switch on the toggle in the Bill Pay column.

Set the import date
In the Enable Bill Pay window, set Import from — the date to start importing invoices from (up to 6 months back) — then click Enable.

Watch the invoices arrive
Keyhook starts reading incoming invoices with AI; after a few minutes they begin appearing under Bill Pay.

Note: Only one inbox can be your Bill Pay account at a time. Switching it to a different account asks you to confirm the change in a Switch Bill Pay Account prompt.

Reauthenticate or remove an account

Reauthenticate a lapsed account
If an account's access expires it stops syncing and its Permission column shows a red Authentication Required button. Click Reauthenticate (or that button) and sign in again to restore it.

Remove an account
To disconnect an inbox, click the trash icon in its row, then click Revoke in the Remove permissions dialog.

Note: Revoking removes Keyhook's access to the inbox and stops syncing — and if it was your Bill Pay account, invoice importing stops too.

Frequently asked questions

Why does the sign-in screen mention Nylas instead of Keyhook?

Keyhook connects to your inbox through a service called Nylas, so the provider's permission screens name Nylas. It's expected. On Google's unverified-app warning, click Advanced then Go to Nylas to continue.

Who can see or send from a shared account?

Any member of your agency. A shared inbox appears in everyone's Agency Accounts list and they can send from it and read its mail. Click Make Private to stop this — the Shared column shows the current status.

How do I turn my signature into HTML?

Gather the link for each image you want (right-click an image and choose Copy image link). Then give an AI tool such as ChatGPT or Claude a screenshot of the signature plus those links and ask it for the HTML. Paste the result into the Signature (HTML) field and check the Preview. This is often handled by your IT team, and Keyhook Support can help.

What does the Send Delay do?

It sets a short window (in seconds) before an email actually leaves, giving you a chance to undo a send. Leave it at 0 to send immediately. It's set per account in the Send Delay column.

Can I have more than one Bill Pay account?

No — only one inbox can be your Bill Pay account at a time. Turning on the Bill Pay toggle on another account asks you to confirm the switch.
