Manage Your Notifications
Overview
Keyhook sorts its emails and app notifications into groups, and you choose which groups you hear about. To change yours, click your name at the bottom of the left menu → Settings → Notifications, switch a group off and click Save options. Every group starts switched on, and what you choose applies only to you, not to anyone else at your agency.
Change which notifications you receive
Note: These toggles change what you receive. They don't change what your tenants or owners are sent. They also apply to your whole account, so switching a group off switches it off for every portfolio you're notified about, not just one.
What each group covers
The groups appear in this order under Notification Options. A few notifications sit in a group whose name doesn't describe them, so the lists below are worth a read before you switch anything off.
Listings
- Listings approved or rejected
- New enquiries and enquiry replies
- New rental applications, and applicants shortlisted, accepted or unsuccessful
- Daily and real-time listing matches
- Open homes and private viewings added, rescheduled, reminded and cancelled
- Tenancy invites and requests accepted or deleted
- Tenancy variations added and signed
- Bond filing, bond refund and landlord registration emails with Tenancy Services
Payments
- Rent received, overdue, part-paid and paid out
- Rent in advance reminders
- Bond payments due, received and part-paid, and bond split changes
- Remittances to owners, tenants, suppliers and your agency
- Incoming transfers, and transfers completed or rejected
- Tenant expenses and tenant invoice reminders
Tenancies
- Tenancy invites and pending tenancies edited or deleted
- Tenancies expiring, and the renewal decisions that follow
- Rent price changes and rent splits
- End of tenancy created, processed and reminded, and tenants giving notice
- Bond collected, external bonds filed and approved, and bond refund forms
- Change of tenant applications
- Account summaries and properties deactivated
- Bank account changes, including one waiting on a principal's approval
- An expired email connection, and a verified email domain
Inspections
- An inspection due in two weeks, prompting you to schedule a time
- Two days until a scheduled inspection
- Confirmed inspection times, for routine, pre-tenancy and final inspections, and the version carrying your own message
- Inspection completed
- Sign-off required, sign-off reminders and voided sign-offs
- An inspection report shared with an owner
Confirmations
- A tenancy confirmed, sent to you, the owner and the landlord
- A tenancy locked in
- A tenancy extension confirmed
Tenant Checks
- Background and credit checks completed
- Reference requests, and references completed
- A check that needs more information before it can run
Maintenance Requests
- Requests submitted by tenants and landlords
- Quotes requested, received, accepted and rejected
- Work orders sent to suppliers, and site visits
- Jobs completed, and completion dates that have passed
- Supplier invoices received, and invoices sent to an owner
- Owner approvals, declines and replies
- Owner direct payment requests and reminders
- Supplier insurance expiry reminders
- Maintenance raised from an inspection
Note: Some notifications don't sit where their group name suggests. Switching off Listings also stops the Tenancy Services bond emails and tenancy variations, and switching off Tenancies also stops bank account change approvals. We're tidying this up, so check the lists above before you switch a group off.
Notifications that always send
- Account and security emails, such as password resets, email confirmations, agency invites, bank feed alerts and billing, sit outside these groups and can't be switched off.
- A few notifications are essential to whoever receives them and send even with their group off. These are the confirmed inspection times and an inspection report shared with an owner.
Switch a person's notifications off for a whole portfolio
This is set per portfolio rather than per person, so it's useful when someone is assigned to a portfolio they don't need to hear about. They stay assigned and keep their access.
