Where your agency branding appears

Overview

Your logos and colours are set once in the Agency menu → the Edit Agency card → Appearance, and Keyhook then applies them wherever your agency is represented. This article lists where each one shows up, grouped by who sees it.

What property owners see

Owner statements

Your Main logo sits at the top of every owner statement in the position you chose, Centre or Left, and your colours run through the headings and totals. This applies both on screen and in the PDF you send. If you set a Statement text colour, it overrides the text colour on the statement.

Year-end and account summaries

End of Financial Year owner reports and account summary PDFs carry the same logo and colours as the statement.

Remittances and invoices

Owner remittance PDFs, the emails they go out with, and owner expense invoices all carry your branding.

The owner portal

Owners signing in to Keyhook see your logo and colours on their property pages, their inspection reports and their dashboard.
What tenants and applicants see

Tenancy invites and requests

Your Main logo appears as your agency's avatar on the invite and request cards a renter sees when you invite them to a tenancy.

The tenancy agreement

A tenancy agreement built in Keyhook carries your logo on the PDF. This is for property management agencies only, and your colours are not applied to the agreement.

Notices and arrears

The overdue rent notice preview and formal notices such as the 21-day notice show your logo.

Invoices, water and bonds

Tenant invoices, the tenant water usage page and bond receipts all carry your branding.

Rental applications

Your logo shows on the application form an applicant fills in, and on the success page after they submit it.

Quotes and work orders

The public page a supplier opens to give you a quote uses your colours, and work order PDFs carry your logo.

Maintenance requests

The public maintenance request page uses your colours.

Supplier remittances

Supplier remittance PDFs and the emails they go out with carry your branding.
What goes out in emails

Every notification email

Every notification Keyhook sends on your behalf carries your Main logo and both of your colours in the body of the email. You don't need to build a custom template to get this.

Your own templates

If you write custom email templates, the preview shows exactly how your logo and colours will land before you send anything.

Your sending address is separate

Setting up a verified send-from address changes who the email appears to come from. It doesn't change the branding. Emails that still go from Keyhook's shared address carry your logo and colours in the body just the same.
What shows on public pages and listing sites

TradeMe and OneRoof

Your Square logo is used as the agent profile photo on TradeMe and OneRoof listings. Both need your agency to be a property management agency with a Display name set, as well as a square logo uploaded. On TradeMe the logo also has to be synced to your listing profile first.

Listing pages

The booking panel on a Keyhook listing page uses your logo and colours. Where you haven't set colours, it falls back to Keyhook's blue.

The 360 inspection viewer

The public 360 viewer you share with owners and tenants uses your logo and colours.

The Join Agency page

The page a new team member lands on when you invite them to your agency shows your logo.
What you see inside Keyhook

Reports and table exports

PDF exports carry your logo, including the bonds screens and the print bonds window, arrears reports, the tenancy master index and the trust account balance sign-off.

Inspections

The completed inspections list and the inspection PDF reports use your logo and colours.

Messages and dashboard

The header on the Messages page and the filter buttons on your dashboard pick up your secondary colour.

Everything else stays Keyhook's

The rest of your workspace, the sidebar, buttons and forms, stays in Keyhook's own colours.
Good to know
  • Main logo and Square logo are two separate uploads. The main logo is a rectangle used almost everywhere. The square logo is mainly for listing sites, which need a square profile photo.
  • Colours only apply when Would you like to customise the colours for your agency? is set to Yes. Setting it back to No clears the colours you picked, and everything returns to Keyhook's defaults.
  • Anywhere you haven't uploaded a logo, Keyhook falls back to your trading name or its own logo, so nothing renders blank.

Frequently asked questions

Do my colours change how Keyhook looks for my team?

Almost nowhere. Your colours are for what owners, tenants and suppliers see. The two exceptions inside your own workspace are the header on the Messages page and the filter buttons on your dashboard, which both pick up your secondary colour. The sidebar, buttons and forms stay in Keyhook's colours.

Why isn't my logo showing on TradeMe or OneRoof?

Those sites use the Square logo, not the main one, and only if your agency is a property management agency with a Display name set. On TradeMe the logo also has to be synced to your listing profile before it appears, so a freshly uploaded logo won't show on existing listings until that sync runs.

My emails still come from Keyhook's address. Are they unbranded?

No. The body of the email carries your logo and colours either way. A verified send-from address only changes the name and address the email appears to come from.
