Send Tenant Notices

Overview

To send a remedy notice, open the property → click the Actions button → Give notice, then pick the notice type, fill in the template, add your Signature and click Save and send notice. These notices warn the tenant and ask them to put something right — they don't end the tenancy.

Give the notice

Open the tenancy
Go to the Property. If it has more than one tenancy, pick the correct one from the Choose a Tenancy card on the property page (a property with a single tenancy shows no selector). (Give notice is only available while the tenancy is active or waiting to start.)

Start the notice
Click the Actions button (top right) and choose Give notice. (You can also open View notices and click Give notice from there.)

Choose the notice type
Under Select a notice type..., pick the remedy notice that fits — see Choose the right remedy notice below. Keyhook loads the matching template.

Fill in the notice
Edit the Subject and Body as needed — anything highlighted as a yellow [ ] placeholder is a spot you must complete, such as what the tenant needs to remedy and by when.

Add your signature
Click to add your Signature — the notice can't be saved without one. It's placed under your name at the bottom of the notice.

Choose whether to email the tenant
Leave Send notification to other party? on to email the notice to the tenant. Turn it off to record it only — see Record a notice without emailing the tenant below.

Save and send
Click Save and send notice, then Send to confirm. The notice is emailed to the tenant and stored under View notices.

Note: Notice can only be delivered to an email address the tenant has given as an address for service in the tenancy agreement. Try to resolve the issue with the tenant directly first — a notice is a formal step, not a first contact.

Choose the right remedy notice

Tenant has broken the agreement
Use the 14 Day notice to remedy tenant breach (under General) when a tenant breaches the tenancy agreement other than by owing rent — for example unauthorised pets or subletting. It gives them 14 days to put it right.

Rent is overdue
Start with a Notice of overdue rent (under Periodic Tenancies) as a reminder. If the arrears continue, escalate to the 14 Day notice to remedy rent arrears (under Fixed-term Tenancies), which formally requires the arrears to be cleared within 14 days.

Antisocial behaviour
Use the Notice of antisocial behaviour (under Periodic Tenancies) for each incident. Keyhook loads a template describing the behaviour and the date it occurred.

Note: None of these notices set an end date — they warn the tenant and give them a chance to remedy the issue. To actually end a tenancy (mutual agreement, 42/90-day, or not-to-continue fixed-term), see Ending a Tenancy. For rent arrears, a 14-day remedy notice can be given once rent is at least 5 working days overdue; three antisocial-behaviour notices for separate acts within 90 days can support an application to the Tenancy Tribunal.

Record a notice without emailing the tenant

Fill out the notice as usual
Choose the notice type and complete the Subject, Body and Signature.

Turn off the notification
Switch off Send notification to other party?. The button changes to Save notice.

Save the notice
Click Save notice, then Save to confirm. The notice is stored under View notices, but no email is sent to the tenant.

Note: Use this where you served the notice outside Keyhook and just want a record on file — the tenant is not re-notified.

Review notices you’ve given

Open View notices
Click the Actions button and choose View notices to see every notice given for this tenancy.

Check what was sent
Each entry shows the notice type and date. From here you can also click Give notice to send another.

Frequently asked questions

Which notices are remedy notices, and which ones end the tenancy?

The remedy notices — 14 Day notice to remedy tenant breach, 14 Day notice to remedy rent arrears, Notice of overdue rent and Notice of antisocial behaviour — warn the tenant and don't set an end date. The mutual-agreement, 42-day, 90-day and not-to-continue-fixed-term notices end the tenancy; see Ending a Tenancy.

Does Keyhook track the 14-day remedy period for me?

No — remedy notices don't show a countdown or set a date in Keyhook (that's only for tenancy-ending notices). The 14 days is stated in the notice wording, and it's up to you to follow it up and, if the breach isn't remedied, take the matter to the Tenancy Tribunal.

Why are the notice types split across Periodic and Fixed-term?

The dropdown groups notices by where they apply — some sit under General, some under Periodic Tenancies and some under Fixed-term Tenancies. Pick the one that matches your situation; Keyhook loads the correct template either way.

Can I change the wording before it goes out?

Yes. The Subject and Body are fully editable, and any yellow [ ] placeholder marks a detail you should complete before sending.

Can I record a notice without emailing the tenant?

Yes — turn off Send notification to other party? before saving. The button becomes Save notice and the notice is stored with nothing sent to the tenant.
