Owner Statements & Year-End Reports

Overview

To send owner statements, open FinancialsOwner Statements, click the Actions button → Generate All Statements and set a Date Range. Then tick the statements you want, open the bulk Actions menu to Preview them, and Send To Owner (or Download as PDFs). At year end, do the same from the End Of Financial Year Reports tab.

Generate the statements

Open Owner Statements
From the left sidebar, open Financials and click Owner Statements. The page opens on the Owner Statements tab, listing statements that have been generated but not yet sent.

Start a batch
Click the Actions button (top right) and choose Generate All Statements to run every owner at once. (This option is available to finance and principal users.)

Set the date range
In the Generate Owner Statements window, set the Date Range the statements should cover. Both the start and end dates are required.

Generate
Click Generate Reports. The statements are queued and appear in the table once the background job finishes.

Or generate for one owner
Instead of a full batch, choose Generate Individual Owner Statement from the Actions menu, pick the owner, set the Date Range, tick the properties to include, and click Generate Report.

Note: A large batch can take a few minutes to generate — the statements land in the table as the background job completes, so there's no need to wait on the screen.

Preview statements before sending

Select the statements
Tick the checkbox on each statement you want to check, or select all of them.

Open the preview
Open the bulk Actions menu and choose Preview. The statement opens in a full-screen preview.

Cycle through them
Use the Previous and Next buttons at the top (or the left/right arrow keys) to move between statements — the header shows Statement X of N so you know where you are. Click Close when you're done.

Or preview a single row
To check just one, click the Preview button on that statement's row — it opens the statement in a new browser tab.
Send statements to owners

Select the statements
Tick the statements you're ready to send.

Send to owner
Open the Actions menu, choose Send To Owner, then confirm. The statements are queued to email and move off the pending list once sent.

Or archive without sending
To keep a statement on record without emailing it, choose Archive instead. Use Delete only to remove a statement you don't want at all.

Note: A sent statement goes to the owner's primary email and to every additional email address on their record — see the last section to route a statements-only copy to an accountant.

Download statements as PDFs

Select the statements
Tick the statements you want to save or print.

Start the download
Open the Actions menu and choose Download owner statement(s) (PDF).

Choose whether to include invoices
In the confirmation window, leave Include attached invoices ticked to merge each property's expense invoices into the PDF, or untick it for the statement alone, then click Download. This action always produces a zip archive (named Owner_Statements_<date>.zip), even for a single statement. (The EOFY Download report(s) (PDF) action differs — one report downloads as a single PDF, several as a zip.)
Generate end-of-financial-year reports

Open the EOFY tab
At the top of the page, click the End Of Financial Year Reports tab, then use the Pending sub-tab to work newly generated reports (Archived and Sent hold the rest).

Generate the reports
Click the Actions button and choose Generate All EOFY Reports. The Date Range is pre-filled with the last completed financial year; adjust it if you need to, then click Generate Reports.

Preview a report
On the Pending sub-tab, click the Preview button on a report's row to open it in a new browser tab and check the figures.

Send or download
Tick the reports you're ready to finalise, open the Actions menu and choose Send To Owner (or Download report(s) (PDF) to keep a copy).

Note: The reports default to the New Zealand financial year — 1 April to 31 March. If the End Of Financial Year Reports tab isn't showing, the feature hasn't been switched on for your agency yet.

Send an owner's statements to their accountant

Open the owner's record
From the left sidebar, click Property Owners and open the owner. Click the Actions button (top right) and choose Edit.

Add the accountant's email
Under Additional email addresses, click Add an email address and enter the accountant's email.

Mark it as an accounts email
Tick the Accounts email box on that row. Any additional address already receives the owner's financial statements; ticking Accounts email means this address receives those statements only and is kept off the owner's general communications and remittances.

Save
Click Save. From now on the owner's statements go to that address as well as their primary email.

Note: An Accounts email receives only the owner's financial statements — general communications still go to their primary email address.

Frequently asked questions

My Owner Statements list is empty — where are they?

The table only shows statements that have been generated and not yet sent. Generate them first with ActionsGenerate All Statements (or Generate Individual Owner Statement for a single owner). Once you send a statement it drops off this pending list.

What's the difference between Archive and Send To Owner?

Send To Owner emails the statement to the owner and moves it off the pending list. Archive saves the statement on record without emailing anyone — useful when you want the figures kept but not sent.

Can I include the expense invoices in the PDF download?

Yes. When you choose Download owner statement(s) (PDF), leave Include attached invoices ticked in the confirmation window and each property's invoices are merged into the PDF. Untick it to download the statement on its own.

What period do the end-of-financial-year reports cover?

They default to the last completed New Zealand financial year — 1 April to 31 March. You can change the Date Range in the Generate EOFY Statements window before generating.

How do I get an owner's statements sent to their accountant?

Edit the owner, add the accountant's address under Additional email addresses, and tick Accounts email on that row. Accounts emails receive the owner's financial statements; regular communications don't go there.
