Use the Inspection App
Overview
To run an inspection, log in → open an inspection from Upcoming or All inspections (or tap the + to create one) → tap the red Camera button and work through each room taking photos → flag, note or action anything that needs follow-up → open the Report to check it, then tap the Signature button to sign off.
Log in and find your inspections
Create an inspection
Note: Creating an inspection here does not notify the tenants. To send them the time, use Send to tenants from the inspection's options menu (see below).
Capture the inspection
Note: You can inspect with no signal — photos are saved on the device and upload in the background through the upload queue. If you've turned on Upload only on Wi-Fi in Settings, they wait until you're on Wi-Fi.
Flag, note and action what you find
Note: A Tenant action asks the tenant to fix something, while an Agent action (or one with a maintenance request) is work your team follows up. Choose the right owner so nothing is missed after the inspection.
Review the report and sign off
Note: Signing off is final and can't be undone — it closes the inspection and removes the camera button. Finish capturing everything before you sign.
Send to tenants and manage the inspection
Note: Logging out removes all pending uploads — wait until Pending media uploads reaches zero before you log out, or you'll lose photos that haven't synced yet.
Frequently asked questions
Do I need an internet connection to inspect?
No. Capture works fully offline: photos are stored on the device and upload through a background queue when you're online. Turn on Upload only on Wi-Fi in Settings to hold uploads until you're on Wi-Fi, and watch progress under Pending media uploads.
What's the difference between a Basic and a Detailed report?
Detailed lets you file each photo against a specific item within a room — a room and item selector appears in the camera. Basic just groups photos by room.
What do Entry, Routine and Exit mean?
They're the inspection type: Entry for the start of a tenancy, Routine for a regular check, and Exit for the end.
What does the Sparkles icon do, and where are my quick notes?
The purple Sparkles icon (it appears in the report once you've selected photos) is Keyhook's AI notes feature — it drafts item notes for the selected photos, which you should review before signing off. Your saved quick notes are separate: open them from the checklist toggle next to the note box when you're adding a note or action, and tap one to drop that wording in.
Can I finish an inspection later?
Yes. Everything you capture is saved as you go, so you can leave and reopen the inspection from All inspections. It stays open until you tap the Signature button to sign it off.
