Set up your quick notes

Open the Inspection Settings page

From the sidebar, open Inspections and go to Settings — the Inspection Settings page has a Quick Notes card. Before you've set any up, you can also jump there from a photo's Quick Note menu by clicking Configure quick notes.

Add a quick note

Click Add your first quick note (or Add another quick note if you already have some) and type the sentence you use often into the field.

Confirm the note

Click the blue tick to lock the note into the list. Each quick note must be unique — a duplicate is rejected with an error.

Save

Click Save. Your quick notes are now available to drop onto photos during any inspection.

Note: Quick notes are saved to your own account, not shared across the agency — each manager sets up their own list.

Add a note to a room or item

Open the inspection area

Open the property's inspection and select the room (the inspection area) you're working on.

Add a note in a basic inspection

On the Notes card, click Add Notes to write a note for the whole area, or Add Photo With Note to attach a photo and its note together.

Add a note in a detailed inspection

For a detailed inspection, open the item's Actions menu and choose Add Notes (or Add Photo With Note) so the note is attached to that specific item.

Write and save the note

Type your note in the Notes field ("Write your notes here...") and click Save.

Add or change a note on a photo

Open the photo

In the area's Photos and videos, open the photo you want to annotate.

Add a free-text note

Click Add Note (it reads Edit Note if the photo already has one), type the note and click Save.

Or apply a quick note

Click Quick Note and pick one of your saved notes from the list — it's set on the photo straight away, no separate save needed.

Note: Applying a quick note or saving a note also clears the photo's flagged marker, so annotated photos drop off your list of ones still needing attention.

Move or delete photos

Turn on select mode

In the inspection area, click Select Photos.

Choose the photos

Tap each photo you want to act on — the count updates as x selected at the top.

Move them to another area

Click Move, then in the Move photos to another area window pick the inspection area (and item name, for a detailed inspection) and click Move.

Or delete them

Click Delete and confirm in the Delete Photos prompt. Deleting is permanent — a photo's note or action is removed with it.

Note: The app hides Move and Delete once an inspection is marked complete, so treat completed photos as part of the locked record — this is a guard in the app rather than a rule enforced by the server. The Flagged view is just a filter for photos still needing attention, not a separate area — you can move a flagged photo like any other.

Are quick notes shared with the rest of my agency?

No — quick notes are saved against your own account, so each person sets up their own. Configure them on the Inspection Settings page under Quick Notes.

What's the difference between a quick note and a normal note?

A quick note is a reusable sentence you set up in advance and drop onto a photo from the Quick Note menu. A normal note is free text you type in the moment with Add Note — use it for anything one-off.

Can I attach a note to a whole room rather than a single photo?

Yes. Use Add Notes on the area's Notes card (or the item's Actions menu in a detailed inspection) to record a note against the area or item itself, separate from any photo.

Why can't I delete a photo?

Deleting is only available while the inspection is still open. Once the inspection is complete the photos are locked as part of the record and can't be removed.

Where do moved photos end up?

They're transferred to the inspection area you choose in the Move photos to another area window and removed from the original area. For a detailed inspection you also pick the item within that area.
