Reminders

Overview

To set a reminder, open the property's Notes card → click Add note → write your note → set Would you like to schedule a reminder? to Yes → pick the date and time → click Save Note. Keyhook keeps the reminder against the note and shows its date in the Notes card.

Add a note to a property

Open the Notes card
On the property's Overview, scroll to the Notes card.

Start a new note
Click Add note (the + action on the card). The Add New Note page opens.

Write the note
In the Notes field, type what you want to record — this is required.

Save
If you don't need a reminder, click Save Note now. To be reminded about this note, set up the reminder first (below) before you save.
Schedule a reminder on the note

Turn the reminder on
On the note form, set Would you like to schedule a reminder? to Yes. The date and time fields appear.

Choose the date
Under Choose a date, pick the day you want to be reminded.

Set the time
Set the Reminder Time — it's entered in 24-hour format, and the form shows it back to you as a 12-hour time to confirm.

Save
Click Save Note. The reminder is stored against the note and its date shows in the Reminder column of the property's Notes card.

Note: The date picker greys out today and every earlier day — a reminder can only be set for a future date.

Make the reminder repeat

Turn on recurrence
With the reminder switched on, tick Make recurring reminder.

Choose how often it repeats
Pick the Recurrence interval — 1, 2, 3, 4, 6, 12 or 24 months. This is required once recurrence is on.

Save
Click Save Note. The note then shows the next reminder date and notes that it repeats every that many months.

Note: A recurring reminder repeats on the same day every interval you chose, counting from the reminder date — use it for regular jobs like periodic inspections or an annual insurance review.

Edit or delete a note

Open the note
On the Notes card, click the note's row to open the View Note page — it shows who added it, the reminder date and the note text.

Edit it
Click the Actions button (top right) and choose Edit to change the text, the reminder date and time, or the recurrence, then click Save Note.

Delete it
To remove the note, choose Delete from the Actions button and confirm in the pop-up. This can't be undone. A reminder that's already scheduled may still appear, so if you no longer want to be prompted, edit the note and turn the reminder off before you delete it.

Frequently asked questions

Do I have to set a reminder?

No — the reminder is optional. Leave Would you like to schedule a reminder? on No and the note is saved as a plain record with no date. You can add a reminder later by opening the note and clicking Edit.

Can I use this for tenancy renewals or inspections?

Yes — that's the main use. Add a note describing the renewal, inspection or compliance date, and schedule the reminder for when you want prompting. For something that comes round regularly, tick Make recurring reminder and set the interval.

Can I set a reminder for a date that's already passed?

No — the date picker greys out today and every earlier day, so a reminder can only be scheduled for a future date; you can't set one in the past.

How does a recurring reminder work?

It repeats every 1, 2, 3, 4, 6, 12 or 24 months (whichever Recurrence interval you pick) from the reminder date. The note shows the next occurrence and that it repeats every that many months.

Where do my reminders show up?

Each note's reminder date appears in the Reminder column of the property's Notes card, and on the note's own View Note page as Reminder scheduled for. Keyhook uses that date to prompt you when the reminder falls due.
