View Transaction History

Overview

To view transaction history, open the Financials menu → Ledger Transactions, pick a Ledger Type and Date Range to see every fee or bond movement. You can also open a single tenancy's Transactions, view a supplier's Transactions tab, and Export PDF for a printable report.

View the agency's ledger transactions

Open Ledger Transactions
From the left sidebar, open the Financials menu and click Ledger Transactions.

Choose the ledger
In the Ledger Type dropdown, pick the ledger you want — a fee ledger (the options carry a "fees" suffix: Management fees, Maintenance fees, Admin fees, Letting fees, Advertising fees, Inspection fees), Bonds, or one of your agency's custom fee categories.

Set the date range
In the Date Range picker, choose the period to report on. It opens on the first of the current month through today; change it to look further back.

Read the report
The table lists each transaction's Date, Description, Property, Amount and Balance, framed by an Opening Balance and Closing Balance row and totalled at the foot as Total Incoming, Total Outgoing and Net.

Note: The Ledger Transactions report is only available to Finance and Principal users. If it isn't in your Financials menu, ask your agency principal for access.

View a single tenancy's transactions

Open the tenancy
From the left sidebar, click Properties, open the property and make sure the right tenancy is selected.

Open its transactions
On the tenancy's Overview, click the Transactions button (top right).

Switch between the ledgers
Use the tabs to move between the Overview (other receipted, credit, journal-entry, outgoing and rent transactions grouped together), the Invoices Ledger Entries and the Rent Ledger Entries.
View a supplier's transactions

Open the supplier
From the left sidebar, open the Maintenance menu, click Suppliers and select the supplier.

Open the Transactions tab
On the supplier's page, click the Transactions tab (between Overview and Timeline).

Set the date range
Use the Date Range picker to choose the period. The table shows the same columns and running balance as the ledger report.
Open a transaction's details

Click a linked description
In the agency ledger report and a supplier's Transactions tab, some descriptions are clickable — supplier invoices, fee charges, fee payouts, outgoing payments and tenant invoices. They underline and turn blue when you hover; plain descriptions aren't clickable.

Read the details panel
A panel slides in from the right with the transaction's breakdown; click outside it to close. On a tenancy's Overview, transactions behave a little differently — click a bank transaction to open its transaction summary.
Export a report as a PDF

Open the actions
On the ledger report, a supplier's Transactions tab, or a tenancy's transactions, find the actions at the top right of the page.

Export the PDF
Click Export PDF. Keyhook builds a branded report for the ledger and date range on screen, ready to print or send.

Note: Export the exact view you're looking at — set the Ledger Type and Date Range (or open the right tenancy/supplier) before exporting, because the PDF captures what's currently shown. One exception: on a tenancy's transactions, Export PDF first opens an Export Transactions PDF dialog where you tick which sections to include (Other Receipted Transactions, Credit Transactions, Journal Entries, Outgoing Transactions, Rent Transactions — all selected by default), then click Download.

Frequently asked questions

Why can't I see Ledger Transactions in the Financials menu?

It's a Finance and Principal only report, so it's hidden for other roles. Ask your agency principal to give you Finance access if you need it.

What period does the report cover by default?

From the first of the current month through today. Change it any time in the Date Range picker to report over a longer window or a past period.

Which ledgers can I view here?

The standard fee ledgers — Management fees, Maintenance fees, Admin fees, Letting fees, Advertising fees and Inspection fees — plus Bonds and any custom fee categories your agency has set up. Pick one at a time from the Ledger Type dropdown.

How do I see the transactions for just one property or tenancy?

Open that tenancy's Overview and click the Transactions button (top right). That view is scoped to the single tenancy, with separate Invoices Ledger Entries and Rent Ledger Entries tabs.

Can I print or save a copy?

Yes — click Export PDF from the actions at the top right. It produces a branded PDF of the ledger and date range on screen, which you can print or email.
