Link Domain to Keyhook

Overview

To send agency email from your own domain, open the Agency menu → the Email Management card → click Add an email domain and enter your domain → Save. Then click Verify to get the TXT and CNAME records, add them at your DNS provider, and click Verify again. Keyhook confirms it and shows a green tick.

Add your domain in Keyhook

Open Email Management

From the left sidebar, open Agency and click the Email Management card.

Start adding a domain

On the Domains card, click Add an email domain (if you have no domains yet, click the Add an email domain button in the empty card).

Enter your domain

In the Add a domain window, type your sending domain in Email domain, for example propertymanagers.com. This is required.

Save

Click Save. The domain is added to the Domains table with a Verify button beside it, since it isn't verified yet.

Note: In the app, the Domains section only appears for users with Principal access, so other users won't see the option to add, verify or remove a sending domain.

Get your DNS records from Keyhook

Open the verify window

In the Domains table, click Verify next to your domain. The Verify Email Domain window opens with the two DNS records you need to add.

Copy the TXT (DKIM) record

Under step 1, copy the Hostname and the DKIM value. Click either one to copy it. Together they make up the TXT record that proves you own the domain.

Copy the CNAME record

Under step 2, copy the Hostname and the CNAME value for the CNAME record, which lets Keyhook handle bounced mail for your domain.

Note: If the record values show as blank, refresh the page and reopen Verify. Keyhook generates a unique Hostname and value for each domain, and a refresh loads them.

Add the records at your DNS provider

Open the website where your domain's DNS is managed (your domain registrar or host) and find its DNS records area.

Add the TXT record

Create a new TXT record. Paste the copied Hostname into the host/name field and the DKIM value into the value field, then save the record.

Add the CNAME record

Create a new CNAME record. Paste the copied Hostname into the host/name field and the CNAME value into the value field, then save the record.

Note: DNS changes aren't instant. They can take anywhere from a few minutes up to 48 hours to take effect, so verification may not succeed the moment you add the records.

Verify the domain in Keyhook

Run the check

Back in Keyhook, open Verify again for the domain and click Verify at the bottom of the window.

Let it finish

If both records are found, the domain is verified straight away. If not, close the window and carry on. Keyhook keeps checking automatically and sends you a notification once it's verified.

Confirm it's verified

When verification succeeds, the Verify button is replaced by a green tick in the Domain Verified column. Both the DKIM (TXT) and return-path (CNAME) records must pass before the tick appears.

Note: Emails can only be sent from a domain once it's verified, until then Keyhook sends from its own default address rather than your domain.

Remove a domain

Delete the domain

In the Domains table, click the trash icon in the Actions column beside the domain.

Confirm

In the Delete email domain window, click Confirm. The domain is removed and can no longer send email.

Frequently asked questions

Who can add and verify a sending domain?

Only users with Principal access. The Domains section is hidden for everyone else, so they can't add, verify or remove a domain.

Why won't my domain verify?

Both the TXT (DKIM) and CNAME (return-path) records have to be found before the green tick appears. Check both were copied exactly and give DNS time to propagate. Keyhook keeps retrying automatically and notifies you when it succeeds.

Do I have to keep the verify window open while it checks?

No. After you click Verify you can navigate away; Keyhook keeps checking in the background and sends you a notification once the domain is verified.

The record values are blank. What do I do?

Refresh the page and reopen the Verify Email Domain window. Keyhook generates the Hostname and value for each record, and a refresh loads them in.

What happens if I never verify the domain?

Nothing breaks, but email can only be sent from a domain once it's verified. Until then your agency's emails go out from Keyhook's default address instead of your own domain.
